Officer Responsibilities

Responsibilities of President

¯  chair regular monthly meetings,
¯
  call special meetings of officers, and
¯
  maintain continuity of organizational activities

The President supervises activities, officers, and committees, fosters membership participation, informs the membership, directs activities not assigned to other officers, and determines with the Director whether to cancel a rehearsal and informs section leaders.

Responsibilities of Vice President

   ¯  assist the President in the fulfillment of the Presidents duties,
¯  assume the duties of the President if the President becomes unable to fulfill his/her duties,
¯
  be in charge of membership,
¯
  be responsible for maintaining an up to date list of paid members, and
¯
  be the liaison to the Nominating Committee.
¯ Contact person for section leaders.

Responsibilities of Treasurer

   ¯  assume responsibility for the fiscal management of the organization.
¯
  provide a report on organizational finances at each regular meeting.

The Treasurer, along with several other Board members, shall be responsible for preparing and recommending a proposed annual financial plan, to be presented to the Board at its July meeting. The Treasurer shall be responsible for all normal bookkeeping functions including receipt and depositing of all funds, receipt and payment of all bills, and properly crediting them to the correct account. The Treasurer shall make payment any compensation due to paid staff, as directed by the Board and Compensation Contracts.  The Treasurer shall prepare necessary IRS reporting annually and provide appropriate forms to compensated staff. The Treasurer shall be responsible for reporting to the State of New Hampshire, any required information.

Responsibilities of Publicist

   ¯  coordinate all aspects of publicity including:
     
     posters,
     
     press releases,
     
     special mailings, and
     
     the design and printing of concert programs and tickets.

   ¯  Rehearsal announcements prior to each semester
¯
  Concert announcement prior to each concert
¯
  Posters and Flyer printing and distribution to members
¯
  Tickets--printing and distribution/collection from members

Responsibilities of Secretary

   ¯  keep and maintain monthly minutes of organizational meetings
¯
  of special meetings as requested by the President or a majority of the officers
¯
  be responsible for all correspondence.

Disseminates minutes to Board in advance of Board meetings. Assists publicity with mailings, if requested

Responsibilities of Music Librarian

¯  be responsible for all aspects of managing the music library.
· Stamps, numbers, and files new music
· Sees that borrowed music if received and returned.
· Maintains records of assigned music
· Distributes and collects all music
· Prepare music folders
· Coordinate availability of concert folders
· Collect all music after concert
· Make available music for post-concert activities

Responsibilities of Concert/Rehearsal Manager

¯  be responsible for scheduling and overseeing all non-performance related rehearsal and concert details.
· Schedules rehearsal space and is liaison between the school and chorus.
· Arranges for piano tuning, if required
· Arranges ushers and decorations, and coordinates setup of concert hall
· Arranges for audio and/or video recording of concert

Responsibilities of Fundraiser

¯  activities to finance the expenses of the chorus.
· Develops Patron/Sponsor program
· Designs format to be used in concert programs
· Maintains a corporate list for future contacts
· Implements fundraising activities when appropriate

Responsibilities of Section Leaders

   ¯  maintain an up to date attendance record for their section (list to be provided by Vice President)
¯
  contact absentees to encourage their attendance
¯
  ensure that section members are informed of all notes, music markings, and other directions made by the Director
¯
  Advise Vice President of members who have had frequent absences
¯
  Notify their members of any rehearsal cancellation
¯
  Assist the Board as may be required
